1. Your access

Your sign-in is for you alone. Do not share it or your one-time codes with anyone, including colleagues; ask us to invite them separately. Only your company's owner contact can decide on recovery claims.

2. What you upload

Upload only records your company is entitled to share with us. We use them only to deliver the services in your engagement agreement, as set out in our privacy notice.

3. Findings and estimates

Our findings are based on the records provided for the period reviewed. Rupee amounts are estimates until verified with supporting documents. Our work is management assurance: it is not a statutory audit, tax audit, certification or opinion on financial statements, and is not legal or tax advice. If our checks find nothing, that means no recoverable amount was found in the checks run on the data provided; it is not a certification that nothing is wrong.

4. Recovery claims

• Nothing is sent to any supplier until your owner contact approves the claim in Yodoya Kura.
• Approved claims are sent by email in your company's name, with you copied.
• Money recovered is paid by the supplier directly to your company, as a credit note, a deduction from a later payment, or a refund. It never passes through Yodoya Shoji.
• Recovery is not guaranteed. If a supplier refuses, you decide whether to take it further, through your own advisers.

5. Recovery fee

• The fee is 20% of each amount your company actually receives from an approved claim, plus GST, unless your engagement agreement states a different rate.
• An amount counts as received when a credit note is issued, a deduction is taken, a refund arrives, or your company settles the claim directly with the supplier within six months of approving it.
• If nothing is received, no fee is due. A claim rejected before it is sent carries no fee.
• Each month we send a statement of amounts received, with the credit note, payment or bank reference for each. Please confirm it or raise a query in Yodoya Kura within 15 days; after that it is treated as confirmed.
• If a supplier later reverses an amount, we refund or offset the fee on it.

6. Accounting and GST returns

Where your company takes our accounting and GST compliance service, we prepare the returns and your company approves each one before it is filed, using its own one-time code or digital signature. Each return remains your company's statement. Your chartered accountant carries out the statutory audit at year end; we do not sign or certify accounts.

7. Records

Yodoya Kura records every acceptance, upload, response and claim decision with the person's name and the time. Both your company and Yodoya Shoji agree to rely on these records as evidence of what was done and when.

8. Changes and contact

If these terms change, you will be asked to accept the new version at your next sign-in. Questions: assurance@yodoyashoji.com.
