Supplier terms
Version S-2026-10.1, effective 9 October 2026. These terms cover how suppliers use Yodoya Kura, the supplier portal of Yodoya Shoji. Each purchase order, and any written supplier agreement, sets the commercial terms for that supply and prevails wherever it says something different.
1. Your sign-in
- Each sign-in is for one named person. Do not share it or the one-time codes sent to you; ask Yodoya Shoji to invite colleagues separately.
- The person who accepts these terms confirms they may do so for the supplier company.
- Tell Yodoya Shoji at once when a person with a sign-in leaves your company, or if you think a sign-in has been misused.
- Yodoya Shoji will never ask for your one-time code by phone, email or message.
2. Your company details
- Your legal name, GSTIN, PAN, billing address, state, MSME status and bank account are changed only by Yodoya Shoji, on a request made in Yodoya Kura with proof.
- A change of bank account is made only after Yodoya Shoji calls your company on a number already on record. Requests by email, phone or message are not acted on.
- Payments are made only to the bank account verified in Yodoya Kura. Yodoya Shoji is not responsible for a payment made to an account that you later say was wrong, where the account was verified as above.
- Keep your contacts and documents current. Tell Yodoya Shoji within 7 days if your GST registration is cancelled or suspended, or your MSME status changes.
3. What you submit
- Documents, quotes, invoices and delivery proofs submitted in Yodoya Kura must be true, complete and your own. They are kept as Yodoya Shoji's record of the transaction, with the date, time and person who submitted them.
- Upload only what is asked for. Never upload Aadhaar numbers (mask all but the last 4 digits), passwords, one-time codes or bank PINs.
- Where your work involves your workers' personal data (for example PF and ESI records or police verification), you confirm you are entitled to share it for this purpose. Yodoya Shoji keeps it only as long as the law and the work require.
- Nothing you submit is deleted by you once submitted; a newer version replaces it and the earlier one is kept.
4. Confidentiality and conduct
- Requests for quotation, other suppliers' ranks, prices and the names, sites and details of Yodoya Shoji's clients are confidential. Use them only to supply Yodoya Shoji.
- Deal with Yodoya Shoji's clients only as a purchase order says. Do not offer gifts or payments to Yodoya Shoji staff or its clients' staff.
- Comply with the laws that apply to your supply, including GST, labour, wage and safety laws.
5. Records, monitoring and scores
- Every sign-in and action in Yodoya Kura is recorded.
- Yodoya Shoji measures delivery, quality, documents and responsiveness, and shows you your score. Scores help decide future orders; they are not a promise of orders.
- Yodoya Shoji may put your access on hold or close it, for example while a document is expired or a concern is checked. Records are kept as the law requires.
6. Data and privacy
- Yodoya Kura runs on Microsoft 365 and Microsoft Azure, with data stored in India. See the privacy notice.
- Accounting records are kept for at least 8 years from the end of the financial year, as Indian law requires.
7. Changes to these terms
- When these terms change, you are asked to accept the new version the next time you sign in.
