Working with Yodoya Shoji

A one-page guide for suppliers. Everything happens in Yodoya Kura: kura.yodoyashoji.com

  1. Sign in. Open kura.yodoyashoji.com and sign in with the email address we invited. A one-time code comes by email. Each person has their own sign-in: ask us to invite colleagues.
  2. Company details and documents. Our company > Company profile: type in your details exactly as on your GST certificate. Then Documents: upload what is asked for (GST certificate, PAN, cancelled cheque, Udyam and the rest). We check them and verify your company.
  3. Quotes. RFQs: enter your rate for each line and send before the closing time. Quotes are sealed: nobody at Yodoya Shoji sees a price before the closing time. Quotes by email or phone are not accepted.
  4. Purchase orders. Each order is posted in Yodoya Kura and you are emailed. Open it, check the items, sites and dates. Something wrong? Report a problem on the order.
  5. Deliver. Take a delivery challan with the goods (no challan of your own? Print the delivery challan from the order). Get it signed and sealed at the site. Then, on the order, Record a delivery and upload the signed challan.
  6. Invoice. When we have accepted the delivery, the order shows Submit the invoice. Upload your signed tax invoice for the accepted quantities, addressed to the GSTIN under "Bill to" on the order. Only invoices submitted in Yodoya Kura are paid.
  7. Payment. Each payment advice (UTR, invoices paid, TDS) is posted under Payments, with your statement of account. Questions about a payment: Queries.

Keep yourself safe

  • Every genuine email from Yodoya Kura shows your security word. No word, or the wrong word: do not act on it.
  • We never ask for your one-time code, and never ask you to change bank details by phone, email or message. A bank change is made only after we call you on a number we already hold.
  • Payments go only to the bank account verified in Yodoya Kura.

Good to know

  • Quote your Supplier ID and our order number on every challan and invoice.
  • Yodoya Kura reminds you 30 days before a document expires: upload the renewed one.
  • Cannot use Yodoya Kura at a site? Give the signed papers to your contact: Yodoya Shoji can enter them for you, and you are emailed each time.
